About Alive Medical Services;
Alive Medical Services (AMS) is a not-for-profit, non-governmental organization that was established in February 2007, with its headquarters located in Kampala, Uganda the facility is open 24 hours. Using a community-based, client-centered, and peer-led approach, AMS provides free comprehensive HIV/AIDS/Sexual Reproductive Health and Rights (SRHR) services to over 218,000 clients annually including over 100,700 youth, adolescent girls and young women, orphans, and vulnerable populations. AMS works in 25 districts, supporting 33 health facilities to provide comprehensive and differentiated high-quality HIV/AIDS and SRHR-related prevention, care, treatment, and psycho-social support.
Main Duties and Responsibilities
- Support the development and implementation of HR initiatives and systems.
- Provide counselling on policies and procedures.
- Be actively involved in recruitment by preparing job descriptions, posting ads, and managing the hiring process.
- Create and implement effective onboarding plans.
- Develop training and development programs.
- Assist in performance management processes.
- Support the management of disciplinary and grievance issues.
- Maintain employee records physical and electronic (attendance, biodata, and any other) according to policy and legal requirements.
- Review employment and working conditions to ensure legal compliance.
- Updating internal databases with new hire information
- Carry out monthly, quarterly, and yearly performance appraisal reviews.
- Support the management of disciplinary and grievance issues.
- Review employment and working conditions to ensure legal compliance.
- Creating and distributing guidelines and FAQ documents about company policies
- Gather payroll data like bank accounts and working days.
- Prepare and maintain monthly timesheets and inform the ED and accounts on the Level of effort of every staff.
- Schedule job interviews and contact candidates as needed.
- Prepare reports and presentations on HR-related metrics like the total number of hires by the department.
- Develop training and onboarding materials.
- Respond to employees’ questions about benefits.
Key personal competences
- Proven experience as an HR Manager, administrator, or other HR position
- Knowledge of HR functions (pay & benefits, recruitment, training & development)
- Understanding of labor laws and disciplinary procedures.
- Proficient in MS Office; knowledge of HRMS is a plus.
- Outstanding organizational and time-management abilities.
- Excellent communication and interpersonal skills.
- Problem-solving and decision-making aptitude.
- Strong ethics and reliability. Qualifications & job specifications:
- The successful candidate will have a BSc/BA in business administration, Human Resources Management, or a relevant field; further training will be a plus.
- HR Credentials (PHR from the HR Certification Institute).
